Privacy Policy

1. Introduction

Speaking Mock is an online platform that provides mock speaking test sessions across multiple exam types — including IELTS, TOEFL, Cambridge, Duolingo, and others — conducted by qualified examiners. This Privacy Policy explains how we collect, use, store, and share your personal information when you use our services as a student or examiner.

2. Information We Collect

We collect the following categories of information:

  • Account information: your name, email address and profile picture, received from Google when you sign up or log in with Google (see section 7).
  • Session data: scheduled session times, exam type, duration, meeting status, and AI-generated scoring results.
  • Payment information: transaction records processed through Click or Payme. We do not store full card or payment credentials on our servers.
  • Uploaded documents: examiner certification documents and profile photos submitted during examiner onboarding for verification purposes.
  • Payout details (examiners only): the 16-digit bank card number you enter in your payout settings, used solely to send your earnings by card-to-card transfer.

3. Session Recording

Every session conducted on the platform may be recorded via Recall.ai for quality assurance and AI-based scoring purposes. Recordings are stored securely for 7 days after the session is completed, then permanently deleted, and access is restricted to authorised platform personnel. By registering and using the platform, both students and examiners acknowledge and consent to being recorded during sessions.

During a session, both the examiner and the student must keep their webcams switched on. The recording bot joins the Google Meet together with the student, and the examiner must admit both. A session the bot is not admitted to is not recorded and is treated as not having taken place. The video recording and transcript reach the platform shortly after the session ends.

4. YouTube & Promotional Use

With prior notice, session recordings may be published on our official YouTube channel for educational and promotional purposes. Before any recording is published, personally identifiable information will be redacted, or explicit written consent will be obtained from all participants. Users who do not wish their session to be published on YouTube may opt out by contacting our support team before the session takes place. Opting out of YouTube publication does not affect your ability to use the platform.

5. AI Analysis

Session audio and transcripts are processed by AI systems to generate indicative score estimates based on the criteria relevant to the exam type conducted (e.g. fluency and coherence, lexical resource, grammatical range and accuracy, and pronunciation for IELTS; or equivalent criteria for TOEFL, Cambridge, Duolingo, and other supported exams). These scores are intended as formative feedback only and do not constitute official results for any examination body.

6. Data Sharing

We do not sell your personal data to third parties. Data is shared only as necessary to operate the service:

  • Click and Payme — to process payments for session bookings.
  • Google — for sign-in, and for creating the Google Calendar event and Google Meet link of a booked session (see section 7).
  • Recall.ai — to record and retrieve session recordings.

7. How We Use Google User Data

This section describes exactly which Google user data Speaking Mock accesses, how it is used, shared, stored and protected, and how long it is kept. Speaking Mock uses Google APIs in two separate places, each with its own consent screen.

7.1 Data we access

  • Google Sign-In (all users) — scopes openid, email and profile. We receive your name, email address and profile picture. We do not receive or store your Google password.
  • Google Calendar (examiners only, optional) — scope calendar.events.owned only. An examiner may separately connect their Google Calendar. Through it we access only the events Speaking Mock itself creates on the examiner's primary calendar for booked sessions: their time, attendees (the student and the examiner), Google Meet link and status. To notice cancellations we subscribe to change notifications for the primary calendar; those notifications can mention other changed events, which we discard immediately without storing, logging or analysing them. We do not access the examiner's other calendars, contacts, email or any other Google data.

7.2 How we use it

  • Sign-in data is used only to create and identify your Speaking Mock account, to show your name and picture in the interface, and to send you emails about your sessions (booking confirmations, reminders, results).
  • Calendar access is used only to: create the calendar event for a booked session, which generates its Google Meet link and invites the student; read that event back to show the Meet link in the app; update or delete it when the session is rescheduled or cancelled; and detect when the examiner cancels the event on their own calendar so the session can be released and the student refunded.

We do not use Google user data for advertising, marketing, profiling, credit decisions or any purpose other than the features described above, and we do not allow humans to read it except with your consent, for security purposes, to comply with law, or when the data is aggregated and anonymised for internal operations.

7.3 How we share it

We do not sell Google user data and do not share it with advertisers or data brokers. It is shared only as needed to provide the service: the student's and examiner's names and email addresses are shown to the other party of a booked session and added as attendees of the session's calendar event; email addresses are passed to our email delivery provider (Resend) solely to deliver session emails; and data may be disclosed if required by law. Google user data is never sent to Recall.ai, to payment providers, or to any AI service.

7.4 How we store and protect it

Your name, email address and profile picture link are stored in our access-restricted database as part of your account. For examiners who connect their calendar, we store the Google authorisation (refresh) token issued to them and the identifier of each session's calendar event, so that the event can be kept in step without asking for consent again. Data is transmitted only over encrypted HTTPS (TLS) connections, the database is not publicly reachable, and access is limited to the platform's servers and authorised personnel who need it to operate the service.

7.5 How long we keep it and how to delete it

Account data is kept for as long as your account exists. An examiner's calendar token is kept while the calendar remains connected and is deleted as soon as Google reports it revoked or expired. You can revoke Speaking Mock's access at any time at myaccount.google.com/permissions, after which we no longer create or read calendar events on your behalf. To have your account and all associated Google user data deleted, email us at the address in section 11; we complete deletion within 30 days. Calendar events already on an examiner's calendar remain theirs and can be deleted by them in Google Calendar.

7.6 AI / machine-learning

Speaking Mock does not use Google user data — including data obtained through Google Workspace APIs such as Google Calendar — to develop, improve or train generalised or non-personalised artificial-intelligence or machine-learning models, and does not transfer it to any third-party AI tool. The AI scoring described in section 5 processes only session recordings and transcripts, never Google account or calendar data.

Speaking Mock's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

8. Data Retention

Session recordings are permanently deleted 7 days after the session is completed. This does not apply to recordings already published on our YouTube channel. AI-generated results and examiner feedback are retained for 12 months from the date of the session, after which they are permanently deleted unless retention is required by applicable law.

9. Your Rights

You have the right to request deletion of your personal data at any time. To submit a deletion request, please contact our support team. We will process your request within 30 days in accordance with applicable data protection regulations.

10. Feedback Deadline & Refunds

Examiners are required to submit session feedback within 24 hours of a session recording being finalised. If an examiner does not submit feedback within this period, their payout for that session is forfeited: the examiner's share of the payment is refunded to the student, while the platform's service fee is not refunded. AI-generated scoring for a session is produced only after the examiner submits feedback, or after the 24-hour feedback deadline has passed without submission.
